Most appointment calls are simple. Someone wants a Saturday slot, a different time next week, or to cancel because they are unwell. The trouble is that a person has to check the calendar, find a free slot, write it down and confirm it, while the phone keeps ringing. Connect the calendar before anything else

Connect each staff calendar and each bookable resource, such as a room or a chair. Then add the locations they belong to and a service list with a length for each service. Write the booking rules

How do you avoid double bookings?

Double bookings happen in three situations: when two channels draw on different lists, when a slot is offered but never booked, and when someone changes the calendar by hand after the agent has checked it. Each one has a simple fix.

  • Keep one calendar as the source of truth, and enter walk-ins and manual bookings in it.
  • Check availability immediately before booking, not from an earlier check in the same call.
  • Block time for breaks, leave and equipment checks, so the agent cannot offer it.
  • Review the first week's bookings each day, and fix any slot that appears twice.

How are confirmations and moves handled?

A confirmation should say what the caller needs to know: the date, the time, the place, anything to bring and how to change the booking. Send it by WhatsApp or SMS if that is what your callers use, and by email if they prefer it. A move should be handled as one action. The agent offers new slots, and when the caller accepts one, it books the new time and releases the old one. Keep the original booking until the new one is confirmed, so the caller is never left with nothing. A cancellation releases the slot and records the reason, which is useful for planning.

What about waitlists?

A waitlist turns a cancellation into a chance to fill a gap. The caller says which days and times they would take. When a slot is freed, the agent offers it to people on the list in order, with a short window to accept. Anyone who does not answer moves down the list or is removed, depending on your rule. Only message people who have agreed to hear from you.

Which awkward cases need extra rules?

Most difficult bookings stop being difficult once the rules are written:

  • Two people, one visit. Ask who is attending, then check both calendars. Book two linked slots, or one slot with two chairs, depending on the service.
  • Several services in one visit. Add the lengths together, check that one person can do all of them, and book them as one block.
  • Recurring visits. Offer a series, such as every six weeks, and check each date. If one date is blocked, offer the nearest alternative rather than dropping it silently.
  • Unsure what they need. Ask two or three plain questions to pick the service. Hand over if the question is clinical, legal or specialist.
