AI receptionist for home services: book jobs while your crew is on site

A plumber under a sink cannot answer the phone. Here is how an AI receptionist books the job, triages emergencies and passes estimates to the owner.

A plumber in work clothes kneels under a kitchen sink in a suburban home, tools laid out on a towel

A plumber with his hands under a kitchen sink cannot pick up the phone. Neither can an electrician up a ladder or a heating and cooling technician in a loft. Every missed call is a job that may go to the next company on the search results. An AI receptionist for home services answers while the crew is on site, books the job into the calendar, triages emergencies and passes questions about price to the owner.

The agent takes each call and asks what is wrong, where the job is and when the customer can be home. It books a visit into the calendar, texts a confirmation with an arrival window and asks for photos. Emergencies follow the rules you set and go to your on-call person. Pricing and estimate questions go to the owner.

Why do home service calls go unanswered?

Trades work with their hands and their attention on the job. A call answered in the middle of a repair is often a call dropped, and many customers will not leave a message. For example, a two-person crew out on bookings for a full day can miss a dozen calls before the van is back. The calls that matter most often arrive at the worst moment: a leak at dinner, or a heating unit that stops on a cold night.

The home services page covers the trades this works for. The core call-handling job is described in AI receptionist.

How does the agent handle an emergency?

Emergencies need a fixed rule, not a judgement made on the call. Agree the rules with your team, write them down in plain words, and the agent follows them every time. A sensible starting table looks like this:

CallWhat the agent doesWho handles it
Gas smellTells the caller to leave the home and call the gas company or 911 from outsideEmergency services first, then your on-call technician
Fire, smoke or sparksTells the caller to call emergency services firstEmergency services, then your team
Active leak or floodingTakes the address and access details and alerts the on-call personOn-call technician, now
No heat or cooling in severe weatherBooks the earliest slot your rules allowDispatch

The gas rule deserves the most care. The US Consumer Product Safety Commission advises that if you smell gas or hear gas leaking, you should leave your home immediately and contact local gas authorities from outside the home. It also advises not to operate lights or phones inside before leaving. CPSC winter weather safety release, March 2026. The agent's first words on a gas call should say the same thing, before any other question is asked.

What does a job intake call collect?

An intake call should be short. Collect what the crew needs before they leave the van:

  1. The customer's name and the best number to reach them on the day.
  2. The address, including the unit number or entry code.
  3. The problem in the customer's own words, and the type of job it sounds like.
  4. Access details: gate codes, pets, parking, and whether someone will be home to let the technician in.
  5. Photos sent by text link, if they would help the technician prepare.

The customer should hear a short summary at the end, with the next step and when they will hear back. A call that ends with "we will be in touch" has left the job unfinished.

How does the agent book a visit?

Booking happens in the calendar your team already uses, where the agent is connected to it. The agent offers arrival windows that fit the day's route, not just the first free slot, and it leaves a gap for travel between jobs. Once the customer picks a window, the agent sends a text with the window and the job reference. If the day is full, it offers the next day and adds the customer to a list for cancellations.

Without a calendar connection, the agent takes the request and offers only the times you have given it. The office then confirms the booking.

What happens to calls after hours?

After-hours calls need a clear split. Overnight, the agent triages. Emergencies go to the on-call person under the rules above. Routine jobs are booked for the first window the next morning, and the customer gets a text confirming the time. The owner does not find a list of voicemails at six in the morning, and the customer does not wait for a callback that may never come. For the general pattern, see after-hours call answering.

Who answers estimate and pricing questions?

Questions such as "how much to replace a water heater?" depend on the job, the parts and your rates. The agent should not guess a price. It records the question and the job details, takes the customer's preferred time for a callback, and tells them when the owner will reply.

If you have a published call-out fee or a standard rate for a common job, the agent can read that out and nothing beyond it. Anything else is for the owner.

How does follow-up after the job work?

A short text the next day can ask whether the work is finished and whether anything else needs attention. A reply that reports a problem becomes a task for the owner, not a sales message. Good follow-up catches a repeat fault early, before it turns into another emergency call.

How VoiFlow handles this

VoiFlow's agents answer on the first ring, around the clock, and follow the triage rules you set for emergencies. Where your calendar is connected, they book visits and send confirmations and reminders by SMS or WhatsApp. Estimates and pricing go to the owner, and anything the rules do not cover goes to a person with the full summary. Every call is recorded, scored and replayable, so you can check how a job was booked.

Frequently asked questions

Will the AI tell a caller it is not a person?

If a caller asks whether they are speaking to a person or an AI, the agent says it is an AI assistant. It never claims to be a human. Disclosure rules vary by country and must be followed.

What does the agent do when a caller reports a gas smell?

Its first instruction is to leave the home and call the gas company or 911 from outside. Only after that does it take the address and contact details. Your on-call person then receives the call record so they can follow up.

Can the agent give a customer a quote on the spot?

It can read out a published call-out fee or standard rate if you have one. Any other quote goes to the owner, and the agent should never agree to a price it has not been given.

Does the agent need access to our job calendar?

It needs a connection to book directly into your calendar. Without one, it takes the request, offers times from a list you provide, and passes the booking to your office to confirm. The what is an AI receptionist guide explains the setup options.
