WhatsApp after the call: turning a conversation into a written record

After a call, a short WhatsApp message gives the customer a written record. Here is what to send, when a template is needed and how replies stay on the same matter.

A phone call leaves no trail. The customer hangs up with a booking time, a reference number or a promise, and by the next morning half of it has gone. A WhatsApp follow up after call puts those facts in writing, in an app the customer already uses, so they have something to check and your team has a record that matches what was said.

Send one short WhatsApp message after the call with what was agreed: the summary, the confirmation, the reference and any document. Only a customer who has opted in can receive it. Within 24 hours of the customer's last WhatsApp message to you, you can reply freely. Outside that window, and after an ordinary phone call, you must use a Meta-approved template.

Why a phone call is different from a WhatsApp chat

This is the point most teams miss. WhatsApp Business customer service has its own rules about when you may message a customer. They depend on whether the customer has written to you on WhatsApp recently, not on whether you have just spoken on the phone.

Meta describes a 24-hour customer service window. It opens when a WhatsApp user messages you or calls you on WhatsApp, and it resets each time they write again. Inside the window you can send free-form replies. Once it closes, you can only send pre-approved template messages. A normal phone call does not open that window, so a follow-up sent after a phone call will usually need a template.

What should a WhatsApp follow up after call include?

Keep each follow-up to one screen. A call summary by WhatsApp should be short. Most calls need five parts, and many need only three.

  • The summary. Two or three sentences on what was asked and what was agreed. No more.
  • The confirmation. The booking time, the new address or the change that was made, with a simple way to reply to move or cancel.
  • The reference. The ticket, order or case number the customer will need if they call back.
  • A document or link. A form, a receipt or a route, but only if the customer asked for it or agreed to receive it.
  • The next step. When the team will call back, and who will do it.

If the customer needs a long document, send a link to a secure page and say what it contains. Do not paste private details into a chat when a link will do.

Two sets of rules decide what you can send, and both are published on Meta's own pages.

The first is consent. Meta's WhatsApp Business Messaging Policy says a business may only contact a person who has given their phone number or username and opted in to receive messages from that business. Keep a record of each opt-in, with its date and source, and check it before you send anything.

The second is timing. Free-form service messages are allowed inside the customer service window and do not need pre-approval. Outside the window, the business must use an approved template, and templates have to be approved by Meta before they are used.

Plan templates in advance. Write a small set for the messages you send most often, such as a booking confirmation or a reference reminder, and submit them early. Approval takes time, so do not leave it until the first call arrives.

Send it while the call is fresh

Send the message as soon as the call ends, while the details are still fresh for both of you. A message that arrives an hour later, after the customer has moved on, is far less useful. Avoid sending outside the hours the customer expects, unless the message is the confirmation of a time they asked for.

If a booking is confirmed on the call, the WhatsApp confirmation message should go out before the customer has to ask for it. If the customer was promised a callback, the follow-up should say when that callback will happen, not only that it will happen.

Keep replies in the same matter

When the customer replies, the reply should continue the same matter. An answer to a booking confirmation belongs to that booking, not to a new general enquiry. The reference number in the message is what ties the thread together.

When to use SMS or email instead

WhatsApp is not always the right channel. Use another one when:

  • The customer has not opted in to WhatsApp, or has asked not to receive messages there.
  • The customer does not use WhatsApp or prefers another channel.
  • The message is a formal written record that belongs in an inbox, such as a statement or a signed form. Use email for these.
  • The message is short and time-sensitive, and the customer has no WhatsApp. An SMS is the simpler option.

An example of a booking follow-up

For example, a caller books a physiotherapy session by phone. Their last WhatsApp message was two weeks ago, so the customer service window is closed. The clinic sends a booking confirmation using a template it had approved in advance, filled in with the time and the branch:

"Your appointment is booked for Thursday at 10 am at [branch name]. Reply to this message if you need to move or cancel."

The customer replies to move the time. The reply goes to the same booking, the record is updated and the team sees the change in one place. This example is illustrative, and the wording must match the template you have had approved.

Frequently asked questions

Can I send a WhatsApp message after a phone call without a template?

Usually not. A normal phone call does not open the 24-hour customer service window. Unless the customer has written to you on WhatsApp within the last 24 hours, use an approved template.

Does a WhatsApp follow-up need the customer to opt in?

What should a follow-up never include?
