How does an order status call work?

An order status call should take less than a minute. The agent follows the same steps every time:

  1. It asks for the order number, or for the phone number and postcode the order was placed with. It confirms identity using the details you choose.
  2. It reads the status from your order system: paid, packed, dispatched, out for delivery or delivered.
  3. It explains what the status means and what happens next. For example, "Your parcel left our warehouse this morning and should reach you in the next day or two."
  4. If the system says delivered but the customer says they have not received it, the agent records that and creates a task for the carrier follow-up.
  5. It sends the tracking link by WhatsApp, so the customer can check again without calling.

How do returns follow your written policy?

Returns are where an agent is most tempted to improvise. A caller sounds reasonable, the item is a few days past the window, and the agent wants to be helpful. The fix is simple: the agent quotes the policy text you give it, and it applies only the rules written there.

On a return call, the agent checks the time since delivery, the item type, its condition and the reason for the return. If the request is inside policy, it starts the return and sends the return steps by WhatsApp or email. If it is outside policy, it says so politely, explains what the policy allows, and passes the request to your team with the summary. It never invents an exception, and it does not promise a refund before your team has approved one.
