Ask the questions a good salesperson would ask first, and leave out anything you are not allowed to ask in your market. Never ask for full card or bank details on a call.

How do you score a lead?

Scoring should be simple enough for a salesperson to explain in one sentence. Use three bands, and write the rule behind each one. The table gives an example.

Score by the meaning of the answers, not by a list of keywords. A lead who says they want to move in before the school year starts is giving you a timeline, even though they never used the word timeline. A keyword list will miss that, and a sensible reader of the answer will not.

When should the call go to a person?

A live transfer works well when a salesperson is free, the lead is hot and the salesperson sees the summary before they pick up. The lead should not have to repeat their budget or their timeline.

The lead should hear the salesperson already knows why they are calling.

A booked callback works better when nobody is free, the lead is busy or they asked for a particular time. Either way, the agent should promise only what your team can deliver, and it should confirm the time in writing afterwards.

What should go into your CRM?

Write the results back to your customer system, so nobody has to ask the lead the same questions again. A useful record includes:

  • the lead's name and preferred contact method
  • the answer to each question
  • the score and the reason for it
  • anything the agent promised, with the date and time
  • the next action and who owns it
  • whether the lead agreed to be contacted, and how

Keep notes short and factual. Anything not needed for the next step does not belong in the record.

How do you handle leads who are not ready?

Most enquiries are not ready to buy on the first call. A follow-up plan can keep them warm without becoming a nuisance. It might be a message after two days, a call after a week, and a short email at the end of the month, with a clear way to stop at any point.
