AI receptionist for car dealerships: service bookings and test drives

A service lane full on a Saturday cannot answer the phone. Here is how an AI receptionist books visits, gives status updates and passes sales and parts questions on.

On a busy Saturday, the service lane is full, two couples are waiting in the showroom and the phone keeps ringing. Each call is a possible service booking, a test drive or a sale, and most dealerships cannot answer them all at once. An AI receptionist for car dealerships picks up while the advisers are with customers, books the service visit, answers the question "is my car ready?" and schedules the test drive.

The agent books service visits and test drives, and gives status updates when your system can provide them. It passes sales, parts and warranty questions to the right person with the details. Recall calls follow approved wording only. Calls after closing time are answered too, so the team starts each morning with a clean list.

Which calls does a dealership get?

Most calls to a dealership fall into a few types. Sorting them first tells you which ones the agent can finish on the call and which need an adviser:

  • Service bookings for routine work and repairs.
  • "Is my car ready?" and other status questions.
  • Test drive requests for a model in stock.
  • Sales enquiries about availability, trade-ins and finance.
  • Parts and warranty questions.
  • Recall letters, and questions about what they mean.
  • Directions, opening hours and complaints.

The automotive page shows how these calls fit a dealership's day.

How does a service booking call work?

A service call should be quick and clear. The agent follows the steps an experienced service receptionist would:

  1. Identify the customer and the vehicle, using the registration number or the make and model.
  2. Ask what the car needs, and note the symptom in the customer's words. The adviser decides the diagnosis, not the agent.
  3. Check the service schedule for a free slot, and offer a date and a drop-off window that fit the workshop.
  4. Confirm the booking, then send a text with the time, the address and the drop-off instructions.
  5. Send a reminder the day before, with a link or line to change the booking.

For the general booking pattern, see appointment booking by phone.

How does the agent answer "is my car ready?"

Status calls are the easiest to answer and the most frustrating to repeat. When your workshop system shares job status, the agent reads it out and says when the next update will come. If the job is held, for example while a part is ordered, the agent says so and passes the call to the adviser who knows why.

Without a status connection, the agent does not guess. It says it will check with the workshop, takes the customer's number, and sends a text as soon as the job is marked complete. The text should say what is ready, and what the customer needs to do next.

What do the calls look like at a glance?

The table below shows where each common call ends up. It is a starting point for your own rules, not a fixed list:

How do test drives and sales leads work?

A test drive call is a sales lead, so the agent captures the right details: the customer's name and contact number, the model they want, a preferred time, and whether they have a car to trade in. It books the slot in the diary and passes the lead to the sales team with the full call summary. The agent does not offer a discount, a trade-in value or a finance rate. Those belong to the sales adviser.

Confirm the booking by text with the time and the showroom address. A customer who has booked a test drive is more likely to arrive, and a clear confirmation makes that easier.

Can the agent run recall outreach?

Recall outreach can be useful, because it reaches owners who may not have read their letter. It must be handled carefully. The agent uses only the wording from the approved manufacturer notice, and it does not interpret the safety risk beyond what that notice says. If an owner asks whether the car is safe to drive, the agent shares the official guidance and hands the call to a service adviser.

Before any outbound recall campaign, check the consent and calling rules for your market. The TCPA guide explains how the rules for automated and AI voice calls work in the United States.

What about calls after closing time?

After hours, the agent answers every call, books the next available service slot, and logs test drive enquiries for the sales team. Parts and pricing questions are recorded for the morning. The sales team starts the day with a clean list of who called, what they asked and when they want to be called back.

Should dealerships run service reminders by phone?

Service reminders work well when they are short and useful. A call or text that says a service is due, offers a slot and makes it easy to decline is welcome. Keep the calls inside calling windows you set, call only customers who have agreed to be contacted, and fall back to text when someone does not answer. For how these campaigns are built, see outbound campaigns.

How VoiFlow handles this

VoiFlow's agents answer on the first ring, including on busy Saturdays and after closing, and they book into your schedule where it is connected. They give status updates when your system provides them, send confirmations and reminders by SMS or WhatsApp, and pass sales, parts and complaint calls to your team with the full summary. The permissions and limits you set decide what the agent may book. Every call is recorded, transcribed, scored and replayable.

Frequently asked questions

Can the AI quote a trade-in value?

No. The agent takes the trade-in details and passes them to a sales adviser, who gives the value. The agent only gives published prices.

Does the agent need our workshop and booking system?

It needs a connection to read job status and book directly into the schedule. Without one, it takes the request, offers only the times you give it, and your office confirms the booking.

Will customers know they are speaking to an AI?

If a caller asks whether they are speaking to a person or an AI, the agent says it is an AI assistant and never denies it. Disclosure rules vary by country and must be followed.

Can we call owners about a recall without asking first?

Check the consent and calling rules before any outbound recall campaign, because they vary by market. The agent should only use the approved notice wording, and every outbound list should be checked against the rules you have confirmed.
