Launching an off-plan project by phone: a campaign playbook

Registration lists, calling windows, brochure timing and retries, laid out day by day for a launch week.

A launch week is a short, sharp window. Interest peaks, registrations pile up and the sales team cannot call everyone before the interest cools. This playbook lays out how a developer can use outbound voice, with WhatsApp, SMS and email behind it, to turn a registration list into booked viewings.

An off-plan property launch campaign works when the calls are narrow and well timed. Clean and consent-check the list first, call the warmest contacts in sensible windows, and send the brochure while the conversation is fresh. After three attempts and a final message, a person takes over, and every qualified contact reaches sales with a summary.

The scenario is illustrative: a Dubai developer launching an off-plan tower, with a registration list built over several weeks.

Before the week starts

Most launch problems are list problems. Clean the list first. For the wider picture, see AI voice agents for real estate.

  • Remove duplicates and numbers that are clearly invalid.
  • Confirm each contact consented to be called and messaged for this project.
  • Check against your do-not-call list.
  • Tag each row with what you know: unit type interest, budget range, source, language.

Then load the project knowledge: unit types, pricing bands, payment plan rules, handover dates and what the agent is allowed to promise. Anything outside those rules goes to a human.

Day one: the first wave

Start with the warmest segment: people who registered most recently or asked about a specific unit type. Call inside sensible windows, avoiding early mornings, prayer times and late evenings for the market you are in.

The call has a narrow job. Confirm the person's interest, ask two or three qualifying questions, and offer a viewing slot. It does not try to close a sale.

A launch call succeeds when the person leaves with a time, a document and a name to expect, not when the pitch is complete.

If the contact is busy, the agent offers a callback time and records it. If they do not answer, the retry logic takes over.

Brochure timing

The brochure should arrive while the conversation is still fresh. For anyone who answered, send the approved brochure by WhatsApp during or just after the call, with the unit type they asked about. For anyone who did not answer, send a short template message a few minutes after the missed call, with the brochure attached.

Do not send the brochure before the call to people you have not spoken to. It tends to read as a mass mailing and lowers pickup.

Retries without pestering

A sensible retry pattern for a launch week looks like this:

  1. First attempt in the contact's preferred window, if known.
  2. Second attempt the next day at a different time of day.
  3. Third attempt on day three, followed by a final WhatsApp message offering a choice of times.
  4. After that, stop and hand the contact to a human for a decision.

Every attempt is logged on the row, and the agent never calls someone it has already spoken to that day unless they asked it to. The reasoning behind limits like these is in journeys, not blasts.

Day by day through the week

Days two and three: qualify and book

By now the first wave has produced answers. Calls shift towards people who asked for more information, with the agent working from the matter notes: it knows what they asked, what they were sent and what they said about budget.

Viewing slots fill the sales team's calendar directly. Reminders go out by SMS the day before, reading the live booking so a moved slot is reflected correctly.

Days four and five: the long tail

Contacts who were hard to reach get the final retries. Contacts who have been qualified but not booked get a gentle follow-up with the payment plan summary, if the rules allow it.

The weekend close

Hold a short list of the most promising contacts for a human call from a senior member of the team. The agent prepares the summary: what they want, what they were told, and the concern that stopped them booking.

What to watch while it runs

The command centre shows calls in progress, connect rates, bookings, and the calls flagged for review. Check three things each day:

  • Connect rate by time window, so you can move the next day's calls.
  • Reasons for no booking, so the sales team can prepare answers.
  • Opt-outs and complaints, which should be rare and acted on immediately.

Handing the warm leads to your sales team

By the end of the week, the sales team should not be starting from a list. They should be starting from a ranked set of conversations. Each qualified contact arrives with a summary: the unit type, the budget range they gave, what was sent, what worried them and the viewing slot if one was booked.

What to do next

Pick one launch, one segment and a clear success measure, such as viewings booked per hundred contacts called. Run a small test wave first, listen to the calls, then scale.

See the outbound campaigns use case, read how real estate teams use it, or talk to us about your next launch on the pricing page.

Frequently asked questions

When should a launch campaign call a registered buyer?

Call in the contact's preferred window if you know it, and avoid early mornings, prayer times and late evenings in your market. Send the brochure after the call, not before, to anyone you have not yet spoken to.

How many times should the agent try to reach a contact?

The playbook uses three attempts across three days, followed by a final WhatsApp message with a choice of times. After that, a person decides what happens next.

Can the agent quote prices or promise payment plans?

Only within the rules you load for the project, such as unit types, pricing bands and payment plan rules. Anything outside those rules goes to a human.

How do I know the launch is working?

Track viewings booked per hundred contacts, connect rate by time window, reasons for no booking and opt-outs. To hear a live call, try a call.
